About PromptFlow LLC
PromptFlow LLC is a California limited liability company. We provide a missed-call text-back service for local businesses: when a caller can't reach a client business, our system automatically replies with a text in that business's name so the lead doesn't go cold.
The information we handle.
To deliver the service, we collect and process the following:
- Phone numbers of people who call a client business and don't get answered.
- The content of text messages sent through the service (the automated reply we send, plus any follow-up texts a business owner sends through the system).
- Replies the caller sends back, so the conversation reaches the business owner.
- Contact information for the client business itself: name, owner contact name, business phone numbers, billing email, and similar account details collected at signup.
We don't collect anything we don't need to run the service. We don't track callers across other websites, and we don't build advertising profiles.
What we do with the information.
The information is used for three things:
- To deliver the missed-call text-back service to our client businesses (routing calls, sending the auto-text, forwarding caller replies to the right business owner).
- To send monthly reports to client businesses summarizing the calls captured and texts sent on their behalf.
- To operate, maintain, and improve the service (debugging, fixing delivery issues, billing).
That's it. We don't use any of this for marketing to callers. We don't sell or rent it to anyone.
Who else sees the data.
PromptFlow does not sell or share mobile numbers, message content, or client contact information for marketing or promotional purposes. Period.
The only third parties that ever process this data are service providers we use to actually deliver the service. The main one is Twilio, which handles the phone and SMS infrastructure. Other examples include Stripe (for billing), Resend (for sending notification emails to us), and Upstash (for storing per-client configuration). Each of these processes the data only to perform a specific function on our behalf, under their own privacy and security obligations. They are not allowed to use the data for their own purposes.
We may disclose information if we're legally required to (court order, lawful subpoena, that kind of thing). If that ever happens we'll push back on overly broad requests when reasonable.
About the text messages.
How you opt in (consent). You consent to receive these text messages by calling a business that uses PromptFlow. If your call isn't answered, the business replies by text to the number you called from — a direct, one-to-one response to the call you placed. We send these messages only to people who have called the business first. We never message numbers from purchased or rented lists, we never send bulk or promotional texts, and mobile numbers and SMS consent are never shared or sold to third parties for their own purposes. Business owners separately opt in to account and onboarding texts when they sign up for PromptFlow and provide their mobile number at checkout.
Message frequency. One automated reply per missed call, plus any conversational follow-up texts the business owner sends in response to your reply.
Opt out. Reply STOP at any time. You will not receive any further messages from that business through our system.

Carriers and devices. Standard message and data rates from your mobile carrier may apply. Delivery depends on your carrier's network.
How long we keep it.
We keep call and message data only as long as needed to provide the service or to comply with legal obligations. Active client account data is kept while the account is active and for a reasonable period afterward for billing, compliance, and dispute resolution. Caller phone numbers and message content tied to a specific client are deleted when no longer needed for that client's reporting and operations.
Your rights under CCPA/CPRA.
If you are a California resident, you have the right to request access to the personal information we hold about you, request that we delete it, and request that we correct it if it's wrong. To exercise any of these rights, email chad@promptflowbusiness.com from the address tied to your account or include enough information for us to verify your identity. We will respond within the timeframe required by California law.
We do not sell personal information. We do not share personal information for cross-context behavioral advertising. There is nothing to opt out of in that sense, but if you want a written confirmation of that fact, we'll send you one.
